Position Details

Salary starting at $20.88/hour (Depending On Experience)

Status:  Non-Exempt/Full-time

Department:  Public Works

JOB SUMMARY

  • This position provides administrative support and assists all Public Works Departments. 

MAJOR DUTIES

  • Performs accounts receivable duties; coordinates, processes, and balances weekly, monthly, and fiscal year-end receivables for the landfill.
  • Responds to public inquiries by telephone, mail, email, and in person.
  • Researches information and prepares reports; assists in compiling budgetary documents; maintains statistics or status of pending matters; prepares statistical reports of a recurring nature; prepares annual state reports.
  • Reconciles credit cards monthly; collects related invoices and receipts; forwards invoices to Finance Department for processing.
  • Prepares invoices for damages to city property maintained by the department; coordinates claims with insurance companies; assists in setting up payment plans.
  • Schedules cemetery burials; sells burial plots; maintains cemetery records; prepares annual reports; creates and updates cemetery brochures.
  • May serve as secretary to the Cemetery Advisory Board; prepare agendas and agenda packets; attend quarterly meetings; manage member terms and openings; prepare minutes; facilitate scheduling; create web postings and notices
  • Coordinates with property owners regarding meter installation, repairs, and maintenance; collects payment for new and replacement meters; records all meter information and forwards to billing coordinator
  • Coordinates and schedules department meetings, programs, and events.
  • Records and tracks all meter information for the annual meter replacement projects.
  • Researches automated water meter reading systems failures.
  • Orders and maintains inventory of meters and smart points; installs, repairs, reprograms, wires, and maintains meters, meter parts, and reading systems.
  • Picks up water bills from drop box; delivers mail to Post Office; delivers commission packets to the Mayor and City Commissioners.
  • Performs related duties.

KNOWLEDGE REQUIRED BY THE POSITION

  • Knowledge of modern office principles and practices.
  • Knowledge of water meter and plumbing system installation, repair, and maintenance principles.
  • Knowledge of cemetery rules and regulations.
  • Knowledge of customer service principles and practices.
  • Knowledge of accounts receivable principles and practices.
  • Knowledge of computers and job-related software programs.
  • Skill in the use of copiers, printers, and other office equipment.
  • Skill in interpersonal relations and in dealing with the public.
  • Skill in oral and written communication.


MINIMUM QUALIFICATIONS

  • Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.
  • Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
  • Possession of or ability to readily obtain a valid driver’s license issued by the State of North Dakota for the type of vehicle or equipment operated.
